Box Shield Data Classification Feature
As part of the college's data security initiatives to protect college and research data, ITS is implementing a service on Box called Box Shield Data Classification. This will be turned on March, March 4th 2024.
Box Shield Data Classification is a service that automatically detects and classifies newly created or edited documents into three classifications. You can also manually assign files a classification as you upload them. Adding the 'restricted' classification to a file will prohibit sharing outside Pomona.
Listed below are the three icons you'll see next to a document or folder and the description and rules associated with the classification.

This data, if released, would not cause harm or obligations to Pomona College.
No special rules apply (same as Box is today).
Proprietary
This data does not fall within the public or restricted classifications. It is proprietary to Pomona College, and you should be careful before sharing.
- File sharing is automatically restricted to Pomona employees and authenticated users of specified domains. (e.g. claremont.edu, hmc.edu, etc.)
- Shared links are accessible by people with Pomona accounts or specifically invited individuals.
- Downloading proprietary files is limited to authenticated users only.
Restricted
This data is subject to regulatory and/or contractual obligations.
Examples include:
- social security numbers.
- credit card numbers.
- student data.
- File sharing is automatically restricted to invited users only. Insiders have no access without being specifically granted permission.
- Downloading restricted files is limited to owners/editors.
- It is impossible to create an unauthenticated shared link without re-classifying the data.
