Email Address and Alias Policy

This article explains the Pomona College email address and aliases policy.

Given Email Aliases at Account Creation

The following are the email address aliases automatically setup with Pomona College email accounts:

LoginID@mymail.pomona.edu (Students, Faculty and Staff)
LoginID@pomona.edu (Faculty and Staff)
Firstname.Lastname@pomona.edu (Faculty and Staff)

NOTES:

Student only get the LoginID@mymail.pomona.edu email alias.
Only Pomona Faculty and Staff are allowed to request additional email aliases.
Only the person (principle) on the email account can request additional Email Aliases. Requests for an email alias for an email account from someone other than the email account principle will be rejected.

Allowed Additional Email Aliases

Any allowed email aliases will be added to the already existing email aliases on the email account. None of the original email aliases will be removed from the email account.

Legal name changes
Example 1 - Name change due to marriage.
Example 2 - Name change due to divorce.
Example 3 - Name change due to legal proceedings such as a legal name change, etc.
Variations of their legal names
Example 1 - The name Robert Smith can have Bob.Smith@pomona.edu as an email alias.
Example 2 - The name John Robert Smith can have Robert.Smith@pomona.edu as an email alias.
Example 3 - The name John Robert Smith can have Bob.Smith@pomona.edu as an email alias.

Disallowed Email Aliases:

No nickname or vanity email aliases.
Example:
The legal name is Karen Marie Smith but everyone knows her as Pinky. Pinky@pomona.edu will not be allowed as an email alias.
No first or last name only email aliases:
Example 1 - Legal name is John Smith but wants John@pomona.edu as an email alias. Not allowed
Example 2 - Legal name is John Smith but wants Smith@pomona.edu as an email alias. Not allowed
No email aliases that spell out something offensive, lewd, or derogatory.

NOTE:

The Disallowed Email Aliases rules do not affect any grandfathered email aliases that already exist in the Pomona Email system. However, if a person leaves and comes back to Pomona causing a re-creation of their email account then that account is subject to this policy on email aliases.
